1. Introduction

This policy explains how the SnabbBiz (IDSBiz) mobile app (Android package com.snabbbiz.idsbizapp) and its online services handle information. The app is provided by INFODATA Systems Pvt Ltd ("INFODATA", "we", "us").

SnabbBiz (IDSBiz) lets business owners view their cloud-based accounting system from their phone: sales, purchases, receipts, payments, stock, outstanding customers and branch performance. It also runs the business's sales force operations. Sales managers follow their team, and sales representatives record invoices, orders, receipts and customer visits in the field. Everything is saved directly in the business's own accounting database.

2. Who is responsible for which data

Your business's data (customers, items, invoices, orders, receipts, stock, visits and the figures shown on dashboards) belongs to your business. It is stored in your business's accounting database, and your business decides who can see it. INFODATA processes it on your business's behalf to provide the app.
Your SnabbBiz login (name, e-mail, mobile number, password and registered phone) is managed by INFODATA. Access to a company is given by INFODATA staff at the request of that business.

3. Information we collect

Information	When and why
Name, e-mail address (your login), mobile number	When you register in the app. The mobile number is confirmed with a one-time SMS code. Used to create and manage your login and to contact you about it.
Password	Stored only in hashed (one-way encrypted) form. We cannot read it.
Device identifier	An identifier of your phone, sent when you register and log in. Your login only works on phones approved for it. This protects your business's data if your password is stolen.
Precise location	Only while you are using the app, when you record an invoice, order, receipt or customer visit. The location is saved with that record so your business owner and managers can see where it was made and view a sales rep's route on a map. Location is not collected in the background or when the app is closed. The app explains this before Android asks for permission.
Business records you enter	Invoices, orders, receipts, customer and prospect details, visit notes, vehicle odometer readings and similar entries. They are saved in your business's accounting database.
SnabbBuddy (AI assistant) questions	If your business uses SnabbBuddy, the questions you type or speak, and the business figures needed to answer them, are processed to produce an answer (see section 5).
Push notification token	A Firebase Cloud Messaging token, so the app can receive notifications such as "your login is ready", payment confirmations and the SnabbBuddy morning note.
Purchases	When a business buys SnabbBuddy question packs in the app, we keep the invoice and payment record (amount, date, reference). Card details are entered on PayHere's secure page and are never seen or stored by us.
Technical logs	Server logs (time, login name, action, IP address, errors). Used for security, to stop misuse and to fix problems.

Phone permissions

Location: as described above, only while the app is in use.
Camera: to scan item barcodes. Images are processed on the phone and not uploaded.
Microphone: only when you tap the microphone to speak a question to SnabbBuddy. Speech is turned into text by your phone's speech service (Google on Android, Apple on iPhone). We receive the text, not the voice recording.
Bluetooth / nearby devices: to find and print to a Bluetooth receipt printer. Not used to determine your location.
Fingerprint / face unlock: optional quick login. Handled entirely by your phone. We never receive biometric data.
Notifications: to show the notifications described above.

4. How we use information

To let you log in securely, on approved phones only, and to show you the companies and branches you have been given access to.
To save the records you enter into your business's accounting database and show dashboards and reports.
To give each person only the data their role allows. A sales rep sees their own sales and customers, a sales manager sees their sales team, and the business owner sees the whole business, across all branches.
To answer SnabbBuddy questions and send the optional morning note.
To bill for SnabbBuddy question packs and record payments.
To send SMS codes and service messages, and to keep the service secure and working.

We do not sell your information, use it for advertising, or share it with anyone for their marketing. The app contains no ads.

5. Who we share information with

Your business: the owner and managers of the company you work for can see the records you enter, including where they were made.
Anthropic (SnabbBuddy): the question and the business figures needed to answer it are sent to Anthropic's Claude AI model. Your password, device identifier and voice recordings are not sent. Anthropic processes this data to provide the service and does not use it to train its models.
Google: Firebase Cloud Messaging (push notifications), Google Maps (maps in the app) and, on Android, the phone's speech recognition.
Apple: on iPhone, push notification delivery and speech recognition.
PayHere (Sri Lanka): processes card payments for SnabbBuddy packs.
SMS provider: delivers one-time codes and service messages to mobile numbers.
Hosting providers: the servers that run our services and store data.
Authorities: only when required by law.

6. Data security

All communication between the app and our servers is encrypted (HTTPS).
Passwords are stored hashed. Logins are limited to approved phones.
Every request is checked so a login can only reach the companies, branches and (for sales reps) the records it is allowed to see.
Only authorised INFODATA staff can manage logins, and their actions are logged.

No system is completely secure, but we work to protect your information and fix problems promptly.

7. Data retention and account deletion

Delete your account

You can delete your SnabbBiz (IDSBiz) login at any time, by either of these methods:

In the app: open the side menu (or the ⋮ menu) and choose Delete my account, then confirm with your password.
On the web: Click Here. Enter your login (e-mail) and password.

Deleting your account immediately and permanently removes:

your login, password and profile;
your access to every company and branch;
your phone's registration;
your push notification tokens;
any login request still waiting for approval.

What is kept

Business records you entered (invoices, orders, receipts, visits) stay in your business's accounting system, because they are part of that business's books. To have them changed or removed, contact the business you work for.
Invoices and payment records for SnabbBuddy packs are kept as long as tax and accounting law requires. They belong to the business account, not to the person.
Security logs are kept for a limited period and then deleted.

If you cannot use either method, e-mail info@infodataAcc.com from the address you registered with. We will verify the request and delete the account.

8. Your choices and rights

You can turn off location, camera, microphone, Bluetooth or notification permissions in your phone's settings at any time. Features that need them will then not work.
You can ask us for a copy of the personal information we hold about your login, or ask us to correct it, by e-mailing us.
For your business's records, contact your business, which controls that data.

9. Children's privacy

SnabbBiz (IDSBiz) is a business app for adults. It is not intended for anyone under 18, and we do not knowingly collect information from children.

10. Changes to this policy

We may update this policy when the app or the law changes. The "Last updated" date above shows the latest version. Significant changes will be announced in the app.
